Core Responsibilities:
In this position you will report to and perform a broad range of advanced administrative duties in support of the Associate Director of Child Welfare Services, Office of Child & Family Services. You will act as the Associate Director’s liaison with OCFS Executive Management Team and OCFS Regional Managers. You will coordinate and manage the Associate Director’s schedule, ensuring that appropriate staff are included in meetings and necessary information is gathered prior to scheduled meetings/events to allow the Associate Director adequate meeting preparation time. You will receive, log, track, and process responses to letters from constituents and their representatives, legislators, providers, and others on behalf of the Associate Director. You will serve as the Associate Director’s liaison to the Human Resources Service Center and assist in coordinating OCFS-Child Welfare personnel actions. You will also coordinate the flow of internal communications on behalf of the Associate Director, research and respond to informational inquiries on behalf of the Associate Director, complete various special projects as assigned and perform other office administrative functions as necessary in support of the Associate Director. To be successful you will need to exercise independent judgment and initiative in completing your daily duties and use discretion in processing confidential information.
Duties include, but are not limited to:
• Answering phone calls and directs inquiries and concerns to the Associate Director and Child Welfare Managers from various levels of OCFS management as well as community agencies and constituents.
• Documenting meetings, notes, decisions and providing those to the Associate Director and the Child Welfare Managers.
• Developing and maintaining databases, spreadsheets and workflow processes regarding critical OCFS processes and projects for the Associate Director and the Child Welfare Managers.
• Monitor and answering correspondence and emails for the Associate Director and Child Welfare Managers.
• Assisting OCFS staff, constituents and consumers with concerns, reports, and compliance requirements.
Minimum Qualifications:
To qualify, you must have training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II and Office Associate I.
