The A.R. Gould School is an accredited diploma-issuing public high school serving the residents of Long Creek Youth Development Center – a secure juvenile detention and correctional facility in South Portland. We are searching for an energetic administrative support professional excited to work with a dynamic group of educators and students. The person chosen for this position will provide support to the school Principal and the Project Impact Coordinator in compliance with all professional standards, relevant statues, and Department of Corrections policies and procedures. If you are comfortable working in a very fast-paced environment, have an ability to prioritize responsibilities, enjoy working with youth, and are excited to learn new computer programs and platforms, you may be the professional we are looking for!
RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
- Provide general administrative support to the A.R. Gould School Principal and the Project Impact Coordinator.
- Process and efficiently organize all incoming student information.
- Create and maintain accurate student records and data.
- Assist with management of federal education grants.
- Compile data and create reports related to students transferring to and from the A.R. Gould School.
- Communicate and coordinate education services with community-based schools.
- Perform routine administrative duties such as create work schedules, manage staff appointments, respond to email communications, receive and manage written and electronic documents.
- Assist education staff with ensuring that all students’ educational services are received and provided in a timely manner.
- Provide data and reports as to satisfy Department of Education requirements.
- Prepare reports and data for regularly scheduled meetings and audits.
- Other administrative support duties assigned by the Principal.
DESIRABLE KNOWLEDGE, SKILLS, & ABILITIES
Knowledge of:
- Information distribution through use of the Internet.
- Principles and practices of education grant management including familiarity with the Grants4ME electronic platform.
Skills or Ability To:
- Maintain confidentiality in all aspects of job.
- Perform basic administrative duties.
- Exercise good judgment in prioritizing responsibilities, decision making, and offering recommendations for improved outcomes.
- Identify and effectively resolve complex problems.
- Communicate with colleagues, facility staff, and students in a positive and professional manner at all times.
- Prepare standard reports using electronically available information and data.
- Utilize multiple computer formats, programs, and platforms.
- Make Standard changes to web page content.
- Detect errors and irregularities in work and take appropriate action in accordance with established policy and procedures.
- Confer with supervisor as needed to ensure accurate work performance.
Minimum qualifications:
18 years of age or older
High school diploma or equivalent
One year or more of general office administration experience
