Job Summary
The Roux Institute is driving economic development in the state of Maine through Research, Learning, Entrepreneurship, and Partnerships.
The Experiential Learning Team is in service of that mission; and the Administrative Support Coordinator is responsible for supporting the Director of Experiential Education as well as the Experiential Learning team to ensure this mission is achieved. Reporting to the Director of Experiential Education, this team member will be integrated into many operations of the team including administrative, operational and data management support.
Minimum Qualifications
- Individual must have strong organizational, communication (both oral and written), and interpersonal skills—all with a high level of attention to detail.
- 2-4 years of experience require. Must possess strong editorial and research skills, particularly the ability to skillfully complete projects under tight deadlines.
- Must be astute, able to perform a wide variety of tasks, able to work with confidential information, and prioritize tasks and demands.
- Must be able to work and make decisions independently, to exercise discretion and good judgment in areas of responsibility.
- Must display the ability to make executive decisions quickly, communicate professionally and effectively on behalf of the Experiential Learning Team.
- Must be creative, proactive, adaptive, assertive and able to work in a changing environment.
- Must have excellent computer skills, experience with both PCs and Macs, and advanced skills with Microsoft Office applications – Word, Excel, PowerPoint, etc.—and familiarity with mobile technology (iPhones, iPads, etc.).
- Majority of assigned work will be conducted during standard business hours; however, it is essential that the candidate must be available for early morning, late evening, and occasional weekend work as required.
- Experience with Salesforce preferred.
Key Responsibilities & Accountabilities
Administrative Support:
- Manage and coordinate a high volume of demands for the Director of Experiential Education time by prioritizing requests and demonstrating significant independent judgment in identifying and resolving potential conflicts.
- Make meeting arrangements, prepare itinerary and event information.
- Conduct necessary research to prepare the Director of Experiential Education and team members for key events or meetings.
- Complete a wide variety of organizational support for the Director of Experiential Education and the experiential learning team.
Strategic Project Coordination & Support:
- Mobilizes, tracks and oversees key projects for the Experiential Learning Team.
- Advances and monitors progress on the Experiential Learning Team 's administrative initiatives and identifies, assigns and tracks specific assignments.
- Reviews, tracks and ensures deadlines are met.
- Works with the Experiential Learning Team on managing special projects and assignments.
- Troubleshoots problems: refers complex questions or concerns to the correct individual or department. Provides staff support for various committees; scheduling, preparing agendas, meeting minutes/notes and support materials. Organizes and initiates appropriate follow-up.
Data Management:
- Develops, manages, and updates all data in regard to Experiential Learning programming
