Position Summary: The Accounts Payable and Payroll Lead Specialist assists in data entry, preparation of bi-weekly payroll, accounts payable tasks as well as performing other related tasks to ensure the smooth operation of the finance department.

Reports to: Finance Office Manager

Duties:

  1. Accounts Payable entries and file maintenance.
  2. Complete payroll related Journal Entry transactions.
  3. Complete Cash Receipts entries and prepare deposits
  4. Payroll preparation through completion.
  5. Perform MaineCare billing through billing software.
  6. Any other duties as assigned.

General:

  1. Comply with all federal, state and local regulations related to services for persons with developmental or intellectual disabilities or autism, including rights of recipients and mandatory reporting.
  2. Demonstrate respect and add value to the lives of those we support.
  3. Fulfill all training requirements, including cross-training with Accounts Receivable Specialist.
  4. Participate as a member of the Team

Qualifications:

  • High School diploma or equivalent.
  • Minimum 2 years related experience.
  • Maintain knowledge of State of Maine Principles of Reimbursement.

Abilities: This position requires the ability to function comfortably both independently and in a team environment, as well as the ability to effectively communicate with others. Proficiency with a variety of electronic software is required, Microsoft Office including Word & Excel, QuickBooks, billing software and other systems as needed.

Physical Demands: The physical demands described herein are those that must be met by an employee to successfully perform the essential functions of the job and include

potentially climbing stairs regularly, bending and stretching.

Mental Demands: Must be able to assume a range of responsibilities, follow directions, and conscientiously perform financial duties efficiently.

Employees must follow and adhere to all HIPAA and agency confidentiality and privacy policies and practices. Finance Department Employees are also required to follow additional confidentiality practices required by the department regarding billing, payroll and other information.

Work Environment: The Accounts Payable and Payroll Lead Specialist position is based in the 5 Fore Street, Oxford location. The position will be office based.

Job Performance Evaluation: The employee will be evaluated at least annually, but more often if performance warrants it. A 90-day review will also be conducted.

Employment Conditions: This is a full time non-exempt position with those related benefits as outlined in the personnel policies. An initial background check will be completed to ensure the employee meets the standards set by the agency and random background checks will be conducted throughout employment to ensure continued integrity of the employee.
