ESSENTIAL FUNCTIONS
Facilitates the intake of all new patients to the pediatric practice, including Newborns, internal transfers, and new pediatric patients to InterMed.
- Discuss relevant history with prospective patients and answer their questions about the practice.
- Maintains extensive knowledge of all Pediatrics providers’ panel & clinic access, scheduling preferences, compatible insurance plans, and standard visit schedule.
- Maintains good working relationships with team members across all sites.
- Provide patients/family members with appropriate education, instruction, and/or paperwork.
- Schedules patient visits for newborns, transfers, and all new patients to the practice.
- Schedules new patients for appointments with the lactation department.
- Works with HIM Dept to request outside records.
- Follows up on the status of ROI and appts.
- Maintains tracking spreadsheets of new patients and prenatal inquiries.
- Reviews electronic medical records system for duplicate accounts.
- Welcomes and assists new clients: Answers phone calls, triages and schedules appointments, returns voicemails and provides a warm professional welcome to clients upon arrival.
- Gathers patient information: Collects personal details, medical history, insurance information, and other relevant data through interviews and intake forms.
- Utilizes Epic to populate new patient charts.
- Verifies insurance coverage: Checks eligibility and benefits for each patient's insurance plan.
- Completes intake paperwork: Ensures all necessary forms are filled out accurately and completely.
- Data Collection and Management: Inputs patient information into electronic medical records systems, maintains patient database, and assists with departmental panel management.
- Eligibility screening: Determines if a client qualifies for services based on criteria set by the organization.
- Facilitates referrals: Assess client needs and facilitates connections to appropriate internal or external services.
- Maintains patient records: Organizes and updates client files to ensure confidentiality and accessibility.
- Schedules appointments: Coordinates appointments for all clients, ensuring efficient scheduling based on department-specific needs and availability.
- Responds to inquiries: Provides information and support by addressing client questions, explaining policies and procedures, and assisting with service selection based on individual needs.
- Maintains strict confidentiality in alignment with HIPAA (Health Insurance Portability and Accountability) guidelines and InterMed policies.
- Perform other duties to support the mission, vision and values of InterMed.
Assist site point-people with finding aging pediatrics patients a new physician within InterMed
- Create Letters and document progress in charts
Count and maintain daily access reports for all providers and report to mgmt.
Understand/utilize all electronic and computer systems including basic trouble shooting.
Collaborate and communicate with providers, staff, and management.
Act as backup to Medical Receptionists.
- Greet incoming patients using friendly, respectful communication
- Obtaining and documenting up to date demographic information for patient, including updated insurance information, license information, etc.
- Accept patient payments and document accordingly

- Notify clinical staff that patient has arrived via the EMR
- Make patient aware of any unusual delay in their appointment time
- Answer incoming telephone calls using pleasant phone voice and proper telephone etiquette
- Be familiar with forms necessary for patient appointments
- To include printing, assembling, and mailing patient packets
- Be familiar with computerized appointment scheduling system and schedule patients with all necessary follow-up and ancillary appointments
- Ability to prioritize telephone encounters
- Monitor automated confirmation calls and update EMR
- Flexibility and willingness to work as a team member
- Proficient with Windows based computer applications
- Accurate transcribing and data entry skills
- Excellent typing and accurate documentation of patient encounter
Additional duties as requested by Administrative Assistant Lead, Clinical Coordinators, Practice Manager and other management staff.
JOB QUALIFICATIONS
- Prior medical office experience required. (change to required)
- Understanding of medical terminology preferred.
