Cave Hill School located in the rural community of Eastbrook, Maine is searching for an amazing candidate to be our administrative assistant. We are a PK-5 learning community known as the CHS Bears of RSU #24! Our enrollment is small but our students are full of energy with an excitement for learning and fun!

We are seeking a full-time administrative assistant who will work directly with the principal, teachers and staff, and our students. This position will begin on July 1st with flexible summer hours and then 40 hours a week once school starts. In addition to loving young kids and having great communication skills, we are looking for someone who has the ability to meet the requirements below:

Essential Functions

  • Ability to prioritize tasks and work completion
  • Assist visitors in the office, including students, teachers, and others.
  • Answer telephone calls, and provide information and assistance to callers.
  • Monitor school surveillance cameras and control access to our building.
  • Respond to inquiries from students, faculty, and staff, providing information, facilitating communication among parties and/or providing direction.
  • Welcome new students and families into our building and assist them, as needed.
  • Assist in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
  • Prepare purchase orders for the purpose of submitting to the school district's accounting/finance office.
  • Assist in maintaining and ordering inventories of supplies and materials for the purpose of ensuring items' availability.
  • Distribute incoming mail appropriately; send outgoing mail.
  • Evaluate situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Prepares, copies and distributes correspondence for community, students, and staff.

Additional Duties

  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning.

Equipment

  • Uses standard office equipment such as personal computer, multi-line telephone, copy/scan machine, fax machine.

Travel Requirements

  • Limited travel to and from meetings, the post office, etc... may be required. Mileage is reimbursed at the approved district rate.

Knowledge, Skills and Abilities

  • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, Powerpoint, Quickbooks, the Internet, Outlook, electronic mail).

  • Ability to remain calm in a busy, shared work space.

  • Ability to describe problems and work orally or in writing to the supervisor as required.
  • Ability to carry out instructions furnished in written or oral form.
  • Have basic first aid knowledge

A current MDOE Criminal History Records Check is required. Pay is based upon experience and level of education.
