Job Title: Analyst - Personnel Administration

Department: Finance

Reports to: Manager - Personnel Administration
Location: In Office, Portland ME

The base salary range for this position is dependent upon experience and location, ranging from: $64,538.40 - $80,673

JOB SUMMARY:                                                            

As a member of Personnel Administration, in the CFO area, this position

focuses on Payroll and related activities. Serves as the primary internal

business partner criteria provider, for any payroll related activities.

Scope of Work - Main duties, settings, geography, reporting             

relationships, other relationships:                             

This position provides technical support in both Payroll and HR areas,              

including but not limited to processes, benefits, 401 (K) savings and   

investment plans, and taxes.  Provides first level of consultative services to all employees of   the organization for all Payroll related matters.  Supports the Personnel Costs budgeting process including running   necessary simulations in SAP.    

MAJOR ROLES AND RESPONSIBILITIES (Scope of work - range of              

responsibilities):                                                       

1. Performs all activities necessary to process one or more payrolls, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments and documenting and updating procedures.       

2. Acts as Subject Matter Expert for all relevant HR and Payroll matters. Answers incoming calls and responds to questions related to policies and procedures from all levels throughout the organization.    

3. Prepares reports in SAP on a weekly and monthly basis as required    

by law and organizational needs.                                        

4. Maintains knowledge and provides support to Payroll functions such as 401(k) funding and paying taxes, balancing, and filing quarterly and annual tax reports.                                       

5. Adheres to and understands all departmental internal controls and maintains all departmental processes to ensure compliance.              

6. Performs general ledger reconciliations and works closely with other departments to ensure all accounts are cleared and in balance each month.                                                                  

7. Supports the process of preparing all information necessary to produce the Personnel Costs budget for all IUSA and assists in running the budgeting process in SAP to generate a labor budget.        

8. Prepares and validates reports for internal and external department audits alongside the Lead Analyst. This will involve working directly with the auditors to provide information as requested for sample groups and provide explanations/further detail when necessary.   

Work Environment Requirements:

Office model for work environment. Must be able to work in a collaborative open office work environment with some noise. Must be able to work on a computer with a minimum of 8 hours of screen time with continuous keyboard use. Must be able to answer and return incoming phone calls, computer, monitor and equipment will be provided for working at  home, however, a designated space to work remotely will be required.

JOB REQUIREMENTS:                                                      

Education & Experience Required:

  • Bachelor’s Degree preferred, no experience required or an
  • Associate degree with a minimum of 3 years relevant experience OR a  
  • High School/GED equivalent with a minimum of 5 years relevant           
  • experience.
