POSITION SUMMARY: This position is responsible for assisting the commercial lenders with documentation support, portfolio administration, customer support/research, and other duties as assigned.

KEY RESPONSIBILITIES:

Commercial documentation support: Assist commercial Lenders to set up closings, obtain and organize loan documents and files for loan packages to meet commercial lending specifications. Work closely with the commercial Loan Processors (CLP) to organize loan closings. Ensure that all documents are received, signed and any missing documents are followed up on to secure perfection of collateral and legal interests of the Bank. Review and monitor loan documents for accuracy, completeness and adherence to approval standards. Prepare and submit loan packages to CLP for further booking to the Core System.

Commercial portfolio loan administration: Work with Commercial Lenders to assure that all credit files and legal files are complete and maintained in good order. Follow-up with letters to customers on past due financial statements, clear and manage documentation deficiencies, and follow up for insurance coverages (both ongoing and in preparation for closings). Prepare term sheets (and in some cases commitment letters) from the credit offering as needed. Assist the Commercial Banking Officers with research as needed. Order UCC searches, certificates of good standing, credit reports, etc. as needed.

Work independently in resolving less complex issues. Follow quality control procedures to verify records for proper content when doing research. Evaluate best courses of action when problem solving taking into account Bank policy, regulatory requirements, impact to customer and the impact to the Bank.

Refer problems or unusual situations to the assigned Lender or Regional Vice President as appropriate.

  • Comply with all Federal and State banking regulations and all Bank and department policies and procedures.
  • Meet or exceed established objectives and standards for Commercial Loan Administrator performance.

Commercial Lender Customer Support/Research: Provide administrative support to the Commercial Banking Officers as needed according to established Bank policy and procedures. This includes filing, advancing funds for payment or crediting accounts (at the request of the Borrower or Commercial Banking Officers); processing a variety of loan payments, fees and/or payoffs; handling construction loan advances and Line of Credit advances, and providing research as needed.

Respond to customers, attorneys, accountants, insurance companies, and realtors' inquiries as needed. Provide prompt, courteous service to customers. Refer prospective customers to loan officers or other Bank staff members as appropriate; refer problems and complaints to the Regional Vice President (as appropriate).

Other loan processing duties: Assist with other loan processing/administrative functions as necessary to meet customer or department workload needs.

Support Bank products/services: Maintain knowledge of current KSB products and services. Actively utilize as many Bank products and services as possible in order to fully understand their features and benefits and to be able to communicate effectively with customers and prospective customers.

Talk to customers and listen for “cues and clues” to determine needs; respond to customer inquiries and evaluate their needs; suggest Bank products/services to customers to meet their needs; make referrals to other Bank personnel as appropriate.

Community/public relations: Actively participate in community organizations and events. Represent the Bank in the community.

Other duties: Demonstrate reliable attendance and punctuality. Handle telephone inquiries and provide information to customers, vendors and other departments in a professional and courteous manner. Be able to obtain necessary information and influence others in a tactful way without direct authority. Attend and participate in all Bank and department meetings. Attend internal and external training to improve skills and knowledge relevant to the Commercial Loan Administrator position. Complete all annual compliance training in a timely manner. Attend seminars and educational training on commercial loan documentation and legal matters.

Requirements

EDUCATION/EXPERIENCE REQUIRED:

  • High school graduate, college degree preferred.
  • 2-4 years of relevant experience in banking; experience in commercial lending preferred.
  • Excellent customer service skills.
  • Computer literate, with experience in Microsoft Word and Excel; experience with loan processing systems desirable.

OTHER REQUIREMENTS:

  • Must be able to lift files and other documents of approximately 20 pounds.
  • Must be able to read and work with printed reports.
  • Must be able to stand or sit for extended periods of time.
  • Must be able to spend extended periods of time working on a computer.
  • Must be able use the telephone; must be able to communicate clearly by telephone; must have good listening skills.
  • Must be able to prioritize and organize workflow; must have good attention to detail; must be able to handle multiple jobs.·
  • Must have the ability to think through a problem, following proper steps in finding resolution.
  • Must have a high degree of ethics and maintain confidentiality of customers and accounts.
  • Must be friendly, courteous and sensitive to the needs of customers and coworkers.
