Job Summary:
The Resource Sharing Coordinator is responsible for the Libraries’ resource sharing operations, including lending, borrowing, and document delivery, with a primary emphasis on lending transactions - those transactions that directly serve the libraries’ external resource sharing partners. The Resource Sharing Coordinator operates as the primary point of contact for internal and external communications related to all lending requests. This position works in close collaboration with the Resource Sharing Manager to ensure the timely receipt, maintenance, and delivery of materials to external resource sharing partners, and members of the campus community. Additionally, the Resource Sharing Coordinator provides direct support to the Resource Sharing Manager in areas of borrowing - those transactions that directly serve the campus community, assuming point of contact responsibilities, as needed, throughout the academic year. The Resource Sharing Coordinator is an integral point of contact within the Public Services team and participates in regular staffing at the Libraries’ service points, which may include nights and or weekends. The Resource Sharing Coordinator plays a pivotal role in supporting The Libraries’ mission, vision, and values, by providing thoughtful, accurate, and time sensitive service to resource sharing partners, and the Colby community.Essential Functions and Key Responsibilities

- Process Lending, Borrowing, and Document Delivery requests, and maintains consistent and timely communication with patrons, and resource sharing partners.
- Manage circulation of materials on loan; monitors overdue notices, responds to renewal requests, and prepares invoices for lost materials.
- Prepare materials for shipping; monitors, maintains, and orders shipping materials.
- Provide guidance and training to support cross-training colleagues to assist with resource sharing.
- Engage with scholarly communications relating to resource sharing, and maintain awareness of resource sharing trends and innovations.
- Make recommendations for service improvements, including workflows, policies, procedures, and software.
- Maintain awareness of current and emerging best practices in the field.
- Participate in professional development activities related to resource sharing.
- Interpret fair use guidelines and adhere to copyright.
- Hire, train, evaluate, monitor, and schedule library student assistants, as needed.
- Provides back up assistance for INN-Reach processing as needed.
Communication
- Maintain timely communication with external resource sharing partners.
- Clarify service expectations based on availability of resources.
- Collaborate with external departments to identify barriers to access; authentication errors, incomplete holdings, broken URLs.
- Communicate with Public Services colleagues on a daily basis to ensure continuity of resource sharing services.
- Answers queries related to resource sharing at the libraries’ service points.
Statistics and Reporting
- Assist the Resource Sharing Manager with annual reporting to the Copyright Clearance Center.
- Compile annual statistics for reporting through IPEDS.
- Provide annual narrative assessments, including statistics from ILLiad, OCLC, and Rapid.
- Create, assess, and improve (as needed) processes for collecting statistics.
- Document workflows, policies, and procedures.
Systems
- Utilize the ILLiad Database Manager to perform regular database maintenance.
- Maintain awareness and proficiency with ILLiad addons, and LUA script errors.
- Communicate any concerns with automatic routing functions with vendors, IDS and Rapid; in collaboration with the Resource Sharing Manager, perform system maintenance as needed.
Position Qualifications
Minimum Qualifications:
Education and experience:
- Bachelor’s degree or the equivalent in education and experience.
- A minimum of three years of experience in resource sharing.
- Time management skills - ability to set goals and priorities.
- Excellent oral and written communication skills.
- Strong organizational skills, accuracy, and attention to detail.
- Familiarity with resource sharing best practices, and trends.
- Experience preferred but not necessary with ILLiad (software), or equivalent experience with resource sharing management software (Worldshare, Tipasa)
- Extensive experience and familiarity with library databases, online catalogs, discovery layers, and electronic resources platforms.
- Knowledge of Fair Use guidelines and copyright as they relate to resource sharing.
- Knowledge of the principles and practices of automated library systems and library classification systems.
- Ability to work independently and as a member of a team, establish priorities, and work collaboratively as a member of a diverse community.

- There may be multiple/daily instances of prolonged personal computer use which would include keyboard and/or mouse usage as well as viewing a computer monitor.
- An employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 40 pounds to perform essential position functions.
- Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus.
- The overall work environment requires the mental ability to shift focus quickly due to interruptions; an employee must be able to mentally track multiple projects and tasks as well.
- The noise level in the work environment is usually moderate; however, there may be unexpected instances of somewhat loud sounds.
