TRAINING JOB APPLICATION FOR MAA STUDENTS ONLY
The AdministrativeAssistant performs a variety of administrative functions for the department,including answering phones, greeting visitors and procuring supplies for thedepartment. Coordinates scheduling within the department which includesweb based meetings and arranging travel plans for department members whennecessary. Performs database administration, which includes runningmonthly departmental budget reports.
Performs administrativefunctions in support of the department
·Answersphones, prioritizes incoming mail and routes questions or messages in properdirection, or if appropriate, answers questions.
·Escortsvisitors when necessary.
·Ensuresnew staff has essential equipment on start date.
·Proofreadsand edits typed or transcribed documents for proper spelling, grammar, andpunctuation. Checks simple calculations for accuracy.
·Orderssupplies using established processes, ensuring adherence to budget.
·Schedulesappointments and meetings (including web-based meetings) in a manner whichmaximizes time and availability and promotes good relationships between thedepartment and employees. This may include managing an executive'scalendar and scheduling meetings as requested.
·Proactivelyschedules required meetings, conferences, etc. Including completing thescheduling of off-site venues.
·Organizes/schedulespresentations from outside vendors.
·Workswith HR to schedule job candidate interviews.
·Supportsdepartment in arranging travel plans and completing required paperwork.
Reporting and databaseadministration
·Maintainsfiles and databases of pertinent information for the department.
·May runmonthly budget reports for the department.
SKILLS AND ABILILITIES:
Strong time managementskills with the ability to prioritize multiple projects and duties.
Ability to learn newsoftware when appropriate.
Desire to take on jobchallenges / opportunities as they arise.
Excellent customerservice skills.
Experience using OfficeProductivity Software.
Ability to analyze andinterpret data to produce meaningful information to support managementdecisions.
EDUCATION AND/OR EXPERIENCE:
General office orrelated experience or the equivalent combination of education and experience preferred.
