Community Concepts, a Maine non-profit that provides resources to people of low income to help them move forward, is seeking an Executive Administrative Specialist who anticipates the needs of the Chief Executive Officer (CEO) and acts accordingly; acts as the CEO’s representative and ambassador to constituents as directed; manages contacts, correspondence and a variety of administrative functions including traditional secretarial duties and other office support for the CEO, Executive Team and Board of Directors. The Executive Administrative Specialist will be responsible for understanding the organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed and handling confidential information in a professional and discreet manner. This position will create and maintain systems for reviewing contracts and ensuring all reporting requirements are attained. Must be available to be on-call via cell phone as needed or required by CEO and able to provide after-hours and flexible support. This position reports directly to the Chief Executive Officer and is located in our Lewiston office. To Qualify: Bachelor’s degree preferred and a minimum of 3 years’ experience as an Executive Assistant, interacting with executives at the Board of Directors and/or Executive Committee level; Administrative experience in preparing Board presentations. Must be a current Notary Public or be willing to pursue. Pre-employment SBI, DMV, DHHS, sex offender registry and federal debarment background checks must be completed and verification employee is not presently disbarred, suspended, proposed for disbarment, declared ineligible or voluntarily excluded from participation by any federal department or agency. These checks will be done initially as a condition of employment and as required thereafter. Must have and maintain a valid Maine driver’s license and a vehicle covered by liability insurance; must have a telephone.
