Summary
The Executive Assistant supports the Clinical Vice Presidents and Leaders. This role requires a strong emphasis on project management, scheduling, administrative operations support, and event coordination.
Essential Duties and Responsibilities
Supports and promotes the mission and values of Covenant Health Ministry.
Maintains all required competencies and completes annual compliance courses on time.
Supporting student learning is a shared responsibility. Every team member is expected to contribute to creating a welcoming environment and to actively assist students in their educational experience, regardless of their specific role.
Handle sensitive and confidential information with discretion and professionalism
possess exceptional organizational skills, a proactive mindset, and the ability to manage multiple tasks efficiently

Project Management
Assist with the planning, execution, and monitoring of various projects across departments.
Track project progress, prepare reports, and ensure timely completion of deliverables.
Collaborate with leaders to gather updates and provide necessary support.
Assist in tracking project timelines, deliverables, and budgets as required
Scheduling and Meetings Support
Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
Prepare agendas, take minutes, and distribute any necessary documentation for meeting as requested
Coordinate logistics for internal and external meetings, ensuring all participants have the necessary information and materials
Administrative Operations Support
Provide comprehensive administrative support, including managing emails, correspondence, and documentation.
Maintain organized filing systems for easy access to important information.
Support the development and implementation of office procedures to enhance operational efficiency.
Coordinate Leadership Monthly meetings and retreats
Event Coordination
Plan and organize company events, meetings, and conferences, ensuring all details are executed flawlessly.
Coordinate with vendors, venues, and other stakeholders to ensure successful event execution.
Manage budgets and timelines for events, providing regular updates to stakeholders.
Job Requirements
Job Knowledge and Skills
Strong proficiency in project management tools and software (e.g., Asana, Trello) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills with a customer-service-oriented approach.
Ability to prioritize tasks effectively, manage time efficiently, and maintain confidentiality.
Strong problem-solving skills and a keen attention to detail.
Education and Experience
Bachelor's degree preferred, or equivalent work experience.
5+ years of experience as an executive assistant or in a similar role, preferably in a
healthcare or clinical setting.
An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.
