Job Description

The Medical Area Administrator is the direct assistant to the Senior Medical Area Administrator and plays a pivotal role within the Occupational Health/Medical Department at BIW. The ideal candidate for this role will be a professional who possesses extremely strong skills for attention to detail, accuracy, critical thinking and is dependable. The Medical Department has a strong relationship with multiple stakeholders across BIW and the Medical Area Admin is required to be well-versed in communicating effectively both in writing and orally with a wide range of audiences. The Medical Area Admin must demonstrate a high level of integrity and professionalism to handle sensitive and confidential information. The current schedule for this role is Monday-Friday 8:30 am – 5:00 pm (can be subject to change based on business need).

  • Data management and record keeping for all OSHA injury reporting, OSHA 300 & 300A logs, etc.
  • Conducts daily/weekly/monthly audits of all OSHA recordkeeping as well as other departmental policies/procedures.
  • Monitors, verifies and approves time charges by all BIW employees charging against the Medical Department.
  • Monitors vendor requisitions/charges as they apply to the Employee Health Department.
  • Monitors and approves excused time according to contractual requirements.
  • Provides general administrative support for appointments, departmental policies, procedures, travel etc.
  • Monitor and reconcile charging/excusing time as related to Medical passouts.
  • Run and distribute daily, weekly and monthly safety data reports.

Required/Preferred Education/Training

  • High School Diploma/GED required.
  • Associates Degree in Administrative Business or Database Management preferred.

Required/Preferred Experience

  • Medical office experience required.
  • Medical Terminology required.
  • High proficiency in Microsoft Office/Excel/PowerPoint/Outlook required.
  • Excellent organizational and time management skills required.
  • Accounting and/or financial aptitude and proven experience required.
  • Meticulous record keeping and attention to details required.
  • Administrative Management experience preferred.
  • Ability to learn, manage, and maintain multiple databases.
  • Must be a self-starter and have the ability to work independently with oversightMust be able to work in a fast-paced, rapidly changing environment and prioritize work as necessary.
