About the Role
We’re looking for a Proposal Coordinator to join our growing team, someone who thrives in a fast-paced environment and enjoys blending creativity with organization to support winning project pursuits.
This role works closely with PCM’s Marketing Manager and leadership team to coordinate proposals, maintain marketing materials, and support broader business development and branding efforts.
A proactive mindset, attention to detail, and the ability to manage multiple deadlines are key to success in this role.
Key Responsibilities
Proposal and RFP Support:
* Track upcoming RFPs, RFQs, and proposal opportunities
* Coordinate and assemble proposal packages from start to finish
* Format documents and ensure consistency in branding and messaging
* Maintain and organize boilerplate content, resumes, and project sheets
Marketing & Content Support:
* Assist in the creation, formatting, and organization of marketing materials
* Maintain and update the marketing database and project log
* Support development of project write-ups and team materials
Digital & Brand Support:
* Assist with website updates and social media content
* Coordinate email/social media campaigns and marketing initiatives aligned with CM’s brand
* Help collect and organize project photos, descriptions, and project highlights
Event & Business Development Support:
* Coordinate event logistics, including registrations, materials, and travel
* Support conference and industry event preparation
* Assist with post-event follow-up tracking and outreach
Qualifications
Required:
* 3–5 years of marketing, administrative, or proposal coordination experience (AEC industry experience strongly preferred)
* Proficiency with Microsoft Office (Word, Excel, PowerPoint) and Canva
* Strong writing, organization, and time management skills
* Ability to manage multiple priorities and deadlines with attention to detail
Preferred:
* Experience with maintaining marketing databases
* Familiarity with proposal coordination or RFP processes
* Experience with social media creation and website platforms
