Temporary Administrative Coordinator (Part-Time)

Location: Scarborough, ME (Onsite)
Schedule: 24 hours/week (3 days/week), 8:00 AM – 4:30 PM with a 30-minute lunch
Pay: Starting at $25.77/hour, with flexibility based on experience
Assignment Length: Approximately late August through late November 2026 (training begins the last week of August; exact dates subject to change)

We’re seeking a Temporary Administrative Coordinator to provide critical support to a busy academic and workforce development team during a planned employee leave. What You’ll Do

As the Administrative Coordinator, you’ll play a key role in supporting daily program operations by:

  • Coordinating day-to-day administrative activities for multiple programs
  • Greeting faculty, students, and visitors while directing them appropriately
  • Serving as a primary point of contact for internal teams and external academic partners
  • Scheduling meetings, preparing agendas, recording meeting minutes, and managing communications
  • Maintaining program databases, tracking systems, and reports
  • Assisting with purchasing, supplies, and general office operations
  • Supporting surveys, program evaluations, and accreditation-related documentation
  • Helping improve workflows, processes, and department systems
  • Managing multiple priorities while ensuring accuracy and attention to detail

What We’re Looking For

Required Qualifications:

  • Bachelor’s degree or equivalent combination of education and experience
  • 1–2 years of experience in program coordination, administrative support, healthcare, education, or a related field
  • Excellent organizational and project coordination skills
  • Strong verbal and written communication abilities
  • Ability to manage competing priorities in a fast-paced environment
  • High level of attention to detail and accuracy
  • Ability to work independently while collaborating effectively with a team

Preferred Qualifications:

  • Experience supporting healthcare or academic programs
  • Familiarity with workforce development or educational programs
  • Experience with reporting, data tracking, or accreditation processes
  • Customer service or stakeholder coordination experience

Technical Skills

  • Strong proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Outlook
  • Experience working with databases, reporting tools, or tracking systems preferred
  • Comfortable learning new software and internal systems quickly
  • Strong general computer and documentation skills
