Job Summary

Under the direction of the Manager, Finance, the Billing and Collections Senior Analyst, is responsible for leading a team of Industry Aligned Analyst and ensuring timely, accurate, and efficient billing and collection functions of all service lines offered by the Firm. Work closely with other departments to monitor billing workflows, processes and coordinate workload responsibilities while utilizing a centralized process and adhering to all policies and procedures.

Essential Responsibilities:

  • Leads day-to-day billing operations, providing direction and support to the billing team including the generation and distribution of invoices, credit memos and reversals, resolving billing issues, WIP and collections for all service lines.
  • Analyzes work in process (WIP), engagement letters and any out of scope (OOS) and generate invoices for clients based on services provided. Reviews final invoices with Relationship Executives before distributing to clients.
  • Reviews invoicing requests that are submitted and monitors the team's activity for accuracy.
  • Assists with collections for Job Billers and Relationship Executives if needed including responding to clients for copies of invoices and statements, distributing ACH instructions, or W9 to expedite payment. Assist clients via email or via phone calls relating to collections and helping client set up online payment portal to expedite payment.
  • Adheres to any changes from various Wipfli departments that will impact time and billing procedures and day-to-day operations. Update Analysts team with changes that would impact day-to-day operations.
  • Updates client billing profiles within software and identifies opportunities to streamline and improve billing processes.
  • Understands and adheres to multiple invoice procedures and practices dependent upon Engagement Letters and other contractual terms and conditions or Firm policy.
  • Stays updated with relevant billing regulations, policies, and best practices to ensure compliance with legal and regulatory requirements.
  • Provides training, guidance, and support to billing staff to enhance their skills and knowledge.
  • Assist with collection support by Industry as needed or requested from Manager, Finance.

Required Qualifications:

  • Associate degree or equivalent educational training preferred
  • 7+ years of progressive administrative work experience in the areas of billing and collections.
  • Experience leading associates and operations.
  • Experience developing productive business relationships with associates at all levels within an organization.

Wipfli supports equal pay for equal work and values each candidate’s unique experiences and skill sets. The estimated pay range for this position is: $60,000 - $90,000. Compensation within the range is determined by a variety of factors including, but not limited to, location, individuals' skills, experience, training, licensure and certifications, business needs and applicable employment laws.

Individuals may be eligible for an annual discretionary bonus, subject to participation rules and based on a variety of factors including, but not limited to, individual and Firm performance.
