The Receptionist performs a variety of tasks. Essential duties include providing excellent customer/patient services via phone and in person; referring callers to the appropriate departments; making appointments for medical patients according to established Center protocols; cheerfully greeting and registering patients when they present in an accurate and timely manner, ensuring that demographic and insurance information is accurately collected, assisting medical patients/clients with forms, creating patient charts/accounts, and collecting patient payments. The position is considered a crucial link between the medical patient and the care delivered by medical clinic and service staff of the Center. The incumbent must work collaboratively with all clinical services staffing support of medical patient services, exhibiting flexibility and a "can do" attitude. Patient services are the key priority in this position requiring the Receptionist to serve as a point of contact with other departments, all with the goal of fostering an environment which promotes patient comfort and trust. The position must exemplify the core values and mission of the Center, always exercising utmost discretion, diplomacy and tact in patient/staff interactions.

Specific Responsibilities

1. Performs day-to-day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones and data entry.

2. Provides information to medical clinic callers according to the Center's Policies and Procedures; transfers calls as needed; works with other reception area staff to ensure adequate phone coverage at all times.

3. Welcomes and greets medical patients/clients/visitors in a manner that is helpful and friendly; determines purpose of visit, secures/updates registration and health history forms and direct patients/clients/visitors to appropriate person or department(s).

4. Schedules medical patient flow to the Center based on predetermined appointment arrangements to allow the Center to serve the optimal number of patients.

5. When scheduling appointments, carefully screens patients for new/current address and phone numbers, new patient visit or update registration and informs patient of adequate information that must be presented at time of visit.

6. Adheres to all Center policies on safety and security; maintains restricted areas safe by safe guarding keyless entry and computer system passwords in strict confidentiality.

7. Must exercise utmost diplomacy and tact to provide excellent customer service for medical patients; practices confidentiality and privacy protocols in accordance to Center policies and HIPAA requirements.

8. Maintains patient waiting areas, medical office files, and front-desk are as in a manner that is organized and neat.

9. Informs medical patients of any existing balance noted in computer and request patient be prepare for any payment due at time of visit.

10. Calls medical patients daily to confirm two days prior to appointment.

11. Verifies method of payment or service and collects data and/or payment as appropriate.

12. Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.

13. Acts as back up Medical Assistant when necessary.

14. Attends scheduled staff meetings.

15. Perform all other duties as assigned by the supervisor.

Job Type: Full-time

Pay: $14.00 - $17.00 per hour
